Participant Portal

Hello wonderful WAG FEST sponsors, vendors, food trucks, organizations, and PET PEOPLE! Please use this vendor portal to its full extent and make sure you read through it before emailing me with questions. I may not respond to you if it’s info that can be found here.

Sarah’s cell: 425.466.7791

  • Please use this for EVENT DAY contact only and TEXTING typically works better

  • Use it for restroom breaks, shopping breaks, food breaks, etc — it’s how I know to send a volunteer your way to give you a break! We all need them 🤓

  • Use it for letting me know you’re running late (or early!), won’t be able to make it last minute, etc.

  • For conversations prior to the festival please email me at sfrostmlt@gmail.com

EVENT DETAILS

  • Please use this link, or the link provided in the email, to purchase your booth fee by August 15th, 2025.

Please let Sarah know ASAP if you need additional time or payment arrangements.

  • You are responsible for your own 10x10 tent, tent weights (REQUIRED!*), any and all displays, tables, chairs, etc. Think of it as your own mini-storefront! Have fun with it!

Bring your own payment processor, have everything charged up ahead of time, bring a backup charger if you think you need it, and have change on hand if you’re planning on taking cash.

There is no electricity available on site. There is also no wifi provided by the venue or the organizer - please be prepared to be able to handle your payments on or offline.

*Tent weights should equal about 25-30 lbs per tent leg. These should be secured to the tent legs as well, either via zip tie, velcro, or other attachment. The Fire Department does often check these, so be prepared!

  • Please take a few minutes at the end of the event to make sure that your space doesn’t have any trash left behind.

Please don’t put large boxes or large bags of food waste* in the trash cans - take these off site and dispose of them on your own.

*this mostly applies to food vendors.

    Thanks so much!

  • Business licensing is up to you and whatever business licenses make sense for your business or organization

The City of Mountlake Terrace has a separate business license endorsement that is required to obtain. If you are vending for 1-day only and make less than $12,000 per year in MLT, there is no fee for this additional endorsement, but you still need to add it to your state license.

We will not be checking these licenses on site.

  • Wag Fest will be covered with one-day general event liability insurance.

However, it is highly recommended that you obtain your own insurance, especially if you’re performing any services on site or selling any products.

  • If you aren’t able to attend Wag Fest, please give us as much notice as possible via email. If cancellation is made within 3 weeks of the market [August 15th], your vendor fee will NOT be refunded.

If you cancel before August 15th, we will refund you the full amount minus any processing fees, not to equal more than 3% of the total amount paid.

  • If you’re using any type of fuel on site, this is for you! If you’re bringing pre-prepared foods, please make sure you have all your State / Snohomish County Health Dept permits in order, but otherwise, disregard.

Please make sure to have all your health and safety documents and requirements in order before you arrive to the event - this includes copies of any applicable permits and licenses.

There will likely be an inspection by the Mountlake Terrace Fire Department at the beginning of the event and they will send you home if you haven’t met their criteria. We don’t want that!

  • If you are not a food truck or tent that is actively cooking food on site, with a Fire permit, please do not have any open flames, fire, knives, smoke, or other flammable / dangerous items in use during the event.

    This is a dog-focused event!
We will be asking that all pets are leashed or contained (e.g. backpacks, strollers, etc) for the duration of the event unless they are inside one of our supervised areas completing a certification or participating in a demo.

If you notice any animals that are not on leash or are acting aggressively, please do not try and handle this on your own but notify a volunteer or Sarah, the event organizer.

  • After the event the MLT Chamber will be sending out a survey to all participants to see how it went, where / how we can improve, and to ask for feedback.

    Some questions may include:

    • What were your total sales or total engagement?

    • How did the event seem - traffic, layout, your booth position, load in/out, diversity, marketing, etc.

    • An ask for additional feedback.

We ask for sales amounts and demographic information so that we can use that for grant reporting and for future event planning - this information will not be shared publicly.

Marketing

You are responsible for posting each market at least once a week leading up to the event! This could be in your email blasts, on your website, or on socials - wherever your audience is!

The more we all share and tag, the more people come shop, the more successful the market is! Don’t forget when you’re sharing stuff in stories to tag @mltchamber and @exploremlt. I want to re-share as much as I can, but won’t see them all unless you tag the market account. I’ll be doing a vendor introduction for every single vendor leading up to the market as well and will tag you!

Here are templates for you to use!

Please don’t “make these graphics your own.”
We are trying to keep branding consistent and recognizable, so please don’t add a filter, change the color, add a border, or make other modifications when sharing on your platforms.

Click on the image to open the file in a new window to download onto your device!

If you want to hand out postcards or hang up posters prior to the event, please let me know and we will make sure to get you some!
